Full-time Administrative Secretary - Elementary & Secondary Education

 

Education:  High School Diploma/GED/ Associates Degree (AA/AS) preferred or secretarial experience  equivalent to three to five years.

 

Qualifications: Excellent communication, problem solving, human relation skills, basic business accounting knowledge, knowledge of records management  procedures, high level secretarial skills and proficient in Microsoft and Google.

 

Reports to: Associate Superintendent of Elememtary and Assistant Superintendent of Secondary Education

 

Job Goal: The job of Administrative Secretary  to the Assistant Superintendent of Secondary  Education and Associate Superintendent of Elementary Education is done for the purpose/s of providing a wide variety of complex and confidential        administrative and secretarial support to the Assistant/Associate Superintendent; conveying information regarding department functions and procedures; ensuring efficient  operation of support functions; and creating coordinating assigned projects and site activities. The nature of the work performed requires a thorough knowledge of Grand Forks Public Schools  organizational functions, personnel, and programs, and involves the use of sound judgment and tact when interacting with the public, government officials, and Grand Forks Public School staff.

 

RESPONSIBILITIES:

  1. Assist the Associate Superintendent of Elementary Education and Assistant Superintendent of Secondary Education.
  2. Act as the first contact for community and stakeholders seeking support from their offices
  3. Function as a liaison among supervisors, schools, administrators, staff and public
  4. Assist in the preparation of school board agendas
  5. Schedule appointments and travel arrangements
  6. Final preparation of correspondence, reports and curriculum projects
  7. Prepare agendas for administrative and committee meetings
  8. Prepare and complete state, district and school level reports
  9. Maintain records of in-district transfer requests and compile individual school enrollments
  10. Maintain records, program bookkeeping functions, reports, contracts, requisition supplies, check requests, state requests and reports
  11. Develop and maintain a wide variety of manual and electronic files and records (administrative manual, legal files, emergency manuals, handbooks, etc)
  12. Produce monthly Kids Connection newsletter working with outside groups to advertise community events
  13. Oversee coordination of Home School program (parent communication, testing, reports including assessments, course, etc) for the purpose of ensuring student learning in the home school setting.
  14. Maintain high level of confidentiality and professionalism
